Social Media Bundle - Due Friday, August 30th
Your social media bundle is an added value of your sponsorship. The sole purpose of this is for us to promote your company via our social media channels. The content can feature webinars, technical blogs, white papers, eBooks, videos, etc.
If you would like to take advantage of your social media bundle, please send your content to Ashley Wilhelm by no later than Friday, August 30th. *Any collateral received after this date cannot be guaranteed to be included in future social media posts.

Sponsored Email (Diamond & Platinum Sponsors Only)
- You receive a max of 2 sections based on our approval. The content of your sections must feature webinars, technical blogs, white papers, eBooks, videos, etc. for acceptance. Ashley will send you a test email with a preview for your review prior to distribution. Please provide a description no longer than 240 characters, an image (1600x900), and a URL for each section.
Sponsor 70-min Technical Session - Link to Submit
Applicable sponsors can submit a 70-minute technical session. Please note that technical sessions MUST remain vendor neutral. Technical sessions must be approved. The date and time of the session will be determined upon approval.
Solution Showcase Submission - Link to Submit
Applicable sponsors can submit a 30-minute solution showcase meant to highlight a solution or product. We highly recommend a case study with an engaging title and description to drive attendance. All solution showcases must be approved and will take place on Thursday afternoon.
Sponsor Exhibitor Kit
We will share the exhibitor kit from our exhibitor services company once received.
Electricity and Wi-Fi
Electricity will be provided to each sponsor (5 amps). If additional power is required, we must be notified prior to the event and additional charges will apply. Sponsors are responsible for any power strips or extension cords they may need.
Booth Staff Registration
Sponsors are allotted a specific number of booth workers per day based on the level of your sponsorship:
Diamond – 4 Platinum – 2 Gold – 2 Exhibitor – 2
Register Booth Staff – Click link to register each booth staff pass. The last question askes ‘Would you like to register another attendee?’ Click No. Then use the same ‘Register Booth Staff’ link to register the next individual and so on.
If you would like additional staff at your booth, you can purchase additional passes at $289 per person per day. You can register a max of 4 total booth staff (in addition to the complimentary booth staff passes that your sponsorship comes with), otherwise, a gold pass will need to be purchased for any additional booth staff members.
Additional Booth Attendee – 2 Days
What access does a booth staff pass have?
Booth Staff passes allow access to keynote sessions and the Expo only. To attend workshops and/or sessions a separate conference pass must be purchased. We offer 2 day and 1-day passes. Visit our tickets page for more details.
Sponsor Banners + Discount Code
Sponsor banners with a 15% off discount code will be sent to all sponsors. If you need any additional templates etc., please email Ashley Wilhelm ([email protected]).
VIP Passes
Sponsors are allotted a specific number of VIP passes (valid for the 3-day conference “gold” pass Wednesday-Friday) for customers based on the level of sponsorship:
Diamond – 4 Platinum – 2 Gold – 1
If your sponsorship qualifies for VIP passes, you will receive an email from Ashley Wilhelm with special VIP codes to give to customers. VIP passes are for customers only and are not intended for employees.
Passport Contest
Attendees will be visiting sponsor booths as they conduct the "passport contest" using the WHOVA event app. Sponsors/Exhibitors will use the WHOVA event app and select Collect Leads/Contacts under the Exhibitor Hub. Here you will scan the attendees QR code on their badge. This will present the attendees with a stamp on their passport for the corresponding company and simultaneously collect the lead information for the sponsor.
Winners of the passport contest will be announced on Thursday during the afternoon break, and we will pull the winners from the master list of completed passports. Only attendees that have scanned your QR code are eligible to win your sponsor prize.
Sponsor Prize Confirmation
Please email [email protected] with your prize giveaway.
All sponsors are required to provide a prize for the sponsor prize giveaways. We recommend selecting a prize with a value of $50 or more. Prizes that we have seen in the past include items such as a gift card, Apple Watch, Amazon Alexa, etc. Please bring your prize with you to the conference. On Thursday we will stop by each booth to collect prizes.
Lead Retrieval
Download the WHOVA app. Please use the email you used when you registered for the event as a sponsor booth attendee. Otherwise, the exhibitor tools will not be available to you.
Go to the Exhibitor Hub section and click Collect Leads/Contacts. There are 2 ways to add leads. Scan QR codes on attendee badges or add lead manually.
You can export your lead list into a spreadsheet at any time by clicking on the Export button. You can send the file to your email or share it with your colleague by putting his/her email in the text box.
